Tips for Your Holiday Event Set-Up

December 20, 2022

It’s the holiday season and no matter who you are, you’re probably having a special event this time of year. For production and rental companies, it’s one of their busiest times.

Schools are hosting concerts. Theatres and churches are having special productions. Companies are having parties. And the list goes on.

For each of these events, chances are portable staging and risers are being used.

But no matter who you are, there are some things you should consider when preparing for your event and even if it has already happened, these tips are valuable throughout the year.

Safety

Safety should always be priority #1. This goes hand in hand with creating an exceptional experience for everyone involved from the performers to the patrons. Recently, we put together a helpful guide filled with the things you need to consider when setting up a stage to keep everyone safe. Check it out here.

The things you’re looking for will vary depending on the type of event but you’ll be looking at things like the stage floor, cables, lights, props, and special effects. If you’re using portable platforms, they need to be sturdy and from a reputable manufacturer with the appropriate accessories like stairs, ramps, and/or guardrails.

Space

Your space and the type of event are also very important considerations that should be made. How big is the room and how tall are your ceilings? This will be vital as you make decisions the size of your staging and seating.

An underrated point of consideration is the size of the audience within the space. Your layout needs to allow even those in the back the ability to see the performance area and the best way to accomplish this with a large audience is with seating risers or a taller stage.

These points relating to the space are particular to using portable equipment in a flexible space as is common this year. For additional information, check out the article we wrote on this exact topic.

Preparation

Preparation makes perfect. For any event, you need to plan ahead and that’s especially true this time of year. From logistics and communication to the final rehearsal, nothing should be overlooked and everyone should be on the same page. This will lead to a successful production for everyone involved. Obviously, you need to plan for the equipment you need as well and determine if it needs rented or purchased. If you need to buy equipment for this year, it’s too late, but it’s never too early to start planning for next year.

Conclusion

There are a lot of things that go into any successful event and a lot of different people that make it all happen. There’s also a lot of variation in the specifics for your event and your venue. When it comes to the equipment you’re using like staging and seating and what will work in your space, our experts can find a solution that’ll meet your unique requirements.

Break a leg – figuratively! – and we look forward to helping you put on even more successful productions in 2023!
